Combined Records

The Combined Records section is responsible for the sentence calculation for offenders, and for developing and maintaining offender records.

The Combined Records staff maintains the data responsible for determining each offender's release date. Information is obtained from many sources including the courts, the Post-Release Supervision/Parole Commission, the NC Department of Justice, the NC Attorney General's Office, and federal, state and county law enforcement agencies.

The Combined Records staff:

  • Records Judgments and Commitments, computes offender sentences, determines release dates, works with the NCDAC Institutions Division on time adjustments, and responds to detainer and notification requests.
  • Completes sentence audits for new admissions, additional sentences, sentence modifications, vacates, reversed and/or remanded for a new trial. Random sentence audits are also performed for quality assurance purposes.
  • Approves or disapproves scheduled offender releases 45 days prior to the release.
  • Provides auxiliary services to the Post-Release Supervision/Parole Commission, the NCDAC Division of Community Supervision and the Extradition Office by providing offender electronic records and other information.
  • Supports the maintenance of electronic offender records.
